Overview of the Role
We are seeking a professional, detail-oriented, and highly organized Workspace Assistant to support the efficient operation of our office environment. This role is responsible for ensuring a secure, well-maintained, and service-oriented workplace while delivering high-quality administrative and front-desk support. The Workspace Assistant plays a key role in maintaining operational standards and contributing to a productive and professional work atmosphere.
What You'll Do:
Reception & Front Office Management
Serve as the first point of contact for employees, guests, candidates, and vendors, ensuring a professional and welcoming experience
Manage the reception area and maintain a presentable front-desk environment at all times
Direct visitors to the appropriate departments and personnel
Maintain office security by adhering to established safety procedures, monitoring visitor logs, issuing badges, and controlling access
Receive, sort, and distribute incoming mail and deliveries
Assist with general clerical duties including filing, photocopying, scanning, and document preparation, as required
Administrative & Operational Support
Manage and update calendars, coordinate and schedule meetings for LT members, as required
Assist with local and/or international travel arrangements for LT members, as required
Maintain accurate records of office expenses and monitor cost tracking
Liaise with external vendors and service providers to ensure timely and effective service delivery
Coordinate with internal departments to ensure compliance with company policies and operational procedures
Provide administrative support to business teams (Finance, HR, etc.), as required
Support the planning and execution of internal and external team events
Facilities & Workspace Management
Ensure the office remains clean, organized, and fully stocked, including kitchen areas, conference rooms, storage spaces, and communal areas
Coordinate workspace vendors and ensure service delivery continuity and proactively manage shortages of office, kitchen, cleaning, hygiene, and conference room supplies
Coordinate and supervise cleaning staff to ensure facility standards are maintained
Act as the operational workspace point of contact during the absence of the Workspace manager, ensuring continuity of workspace services and escalating issues as appropriate.
Coordinate and oversee the maintenance of indoor plants and interior landscaping to ensure high workspace standards.
Undertake additional workspace operational duties, as assigned, to support continuity of workspace services.
Health, Safety & Compliance
Act as the first responder in workplace emergency situations
Support the preparation and completion of required documentation in accordance with the Emergency Response Plan
Ensure adherence to internal health, safety, and security standards and procedures
Previous experience in office administration, reception, facilities coordination or a similar workplace support role
Strong organizational skills with the ability to manage multiple tasks effectively
Excellent interpersonal and communication skills, with the ability to engage professionally with internal and external stakeholders
Proficiency in English, both written and spoken, for business communication (C-level proficiency preferred)
High level of professionalism and customer service orientation
Ability to work independently, demonstrate initiative, and exercise sound judgment
Proficiency in standard office software and administrative systems
