As a Senior Facilities you’ll be supporting the delivery of safe, efficient and smoothly run operations, covering everything from building maintenance and compliance to workplace enhancements and vendor management. This will help us excel at high standards services, driving innovation, and proactively managing infrastructure to stay ahead of the game.

What you’ll be doing

As part of your role, your responsibilities will include:

  • Coordinating Daily Facilities Operations
    • Oversee maintenance, repairs, and service requests to ensure smooth day to day functioning of the office
    • Act as the first point of contact for staff, contractors, and suppliers on all facilities related queries
  • Supporting Facilities Projects and Compliance
    • Assist the Facilities Manager with planning, implementing policies and procedures, and monitoring facilities initiatives
    • Ensure compliance with Health & Safety regulations, conduct risk assessments, and meet statutory obligations
  • Space Planning and Workplace Support
    • Assist with desk moves, office layout updates, and event setups to support business needs
    • Conduct weekly tours for new starters and help maintain an engaging and functional workspace
  • Vendor and Contractor Management
    • Manage and monitor contractor performance, ensuring work is completed to a high standard
    • Ensure all new vendors are properly onboarded in accordance with company policies
  • Inventory and Asset Management
    • Oversee stock of office and facilities supplies and ensure First Aid kits are regularly checked and updated
    • Record, monitor, and account for fixed assets, conduct analyses and produce reports as requested
  • Emergency Preparedness and Business Continuity
    • Support fire drills, evacuation plans, and emergency procedures to ensure staff safety
    • Keep the Maintenance Logbook updated and record monthly utility meters
  • Team Leadership and Support
    • Provide guidance and mentoring to facilities team members
    • Carry out regular floor walks, raising issues related to maintenance, H&S, and IT with relevant teams
  • Reception and Administrative Duties
    • Cover reception when necessary, take calls, provide customer support, and book couriers
    • Produce reports, maintain records, and update facilities documentation as required
  • Sustainability and Operational Efficiency
    • Promote eco-friendly practices and support initiatives to reduce energy and resource consumption
    • Handle heavy parcels and deliveries with care and efficiency
  • Ad Hoc Responsibilities
    • Perform additional duties as requested to support the wider facilities and workplace team

Essential skills you’ll bring to the table

The necessary skills that we require for this role include:

  • Strong verbal and written communication skills, with the ability to convey complex ideas clearly and effectively
  • Experience working collaboratively in cross-functional teams, with a focus on achieving shared goals
  • Expertise in managing multiple projects simultaneously, with a track record of delivering on time and within scope
  • Exceptional attention to detail, ensuring high standards of quality in all outputs
  • Ability to adapt quickly to changing environments and priorities, maintaining effectiveness in dynamic situations
  • Previous experience in a facilities coordination role, ideally at a senior level.
  • Strong knowledge of Health & Safety and workplace compliance requirements.
  • Excellent organizational and multitasking skills with the ability to prioritize effectively.
  • Good problem solving ability and a proactive approach to tasks.
  • Proficiency in MS Office applications (Word, Excel, Outlook).
  • Ability to work independently while contributing to a team environment
