CRE Operations Officer

Overview of the Role

The CRE Operations Officer is responsible for the effective day-to-day management of office operations and facilities. This role ensures a safe, efficient and well-organized working environment while supporting employees and business operations.

What You'll do:

Office & Facilities Support Management

• Manage office utility consumptions and usage reports.
• Maintain office inventory and keep accurate records of supplies, equipment and stock levels. Coordinate replenishment as needed.
• Support asset tracking and inventory checks for office furniture, equipment and other workspace items.
• Manage the company’s physical and digital archive system, ensuring structured, accurate and secure storage of all corporate documentation.
• Verify completeness of documents (signatures, dates, annexes) before archiving.
• Maintain and regularly update archive logs to ensure full traceability of stored documentation.

Vendor & Contract Management

• Conduct market research to identify potential suppliers, confirm budget availability and support negotiation of supplier contracts, terms and pricing.
• Support the procurement process, including preparing purchase requests, collecting quotations and coordinating orders.
• Draft, review and administer standard contracts, including renewals, terminations and archiving.
• Ensure all required contract approvals and signatures are obtained.
• Manage Supplier Database and categorization; Archive final agreements and keep contract records up to date.
• Track contract renewal dates and termination processes, ensuring timely follow-up and compliance with terms.
• Coordinate with office service providers and support day-to-day vendor communication, if required.
• Assist with monitoring vendor services to ensure timely and satisfactory support on site, if required.
• Ensure suppliers and contractors follow office procedures and expected standards while working on site, if required.
• Support coordination of on-site service delivery and report vendor performance issues when needed, if required.

Stakeholder & Employee Support

• Support day-to-day communication with internal teams regarding stock levels to help ensure office services run smoothly.
• Support the organization of local office events, meetings and employee activities, if required.

Continuous Improvement & Innovation

• Contribute to the development and implementation of workspace standards, procedures and innovation initiatives.
• Support the adoption of best practices and effective use of systems and equipment.

Success Measures (KPIs)

Accurate and up-to-date archive records are maintained both physical and digital, with all documents properly filed and stored. Accurate inventory and stock records maintained, with timely replenishment and minimal stock discrepancies. Effective asset and inventory checks completed on schedule, with variances identified and resolved promptly. Utility usage reports prepared accurately and submitted within required deadlines. Procurement activities completed in a timely manner, including purchase requests, quotation collection and order coordination.
