We are looking for an experienced Team Assistant to help support UKI Managing Directors This role will see you deliver and coordinate an exceptionally high level of support for our busy executives who travel extensively and often work remotely.
You'll need to understand the business priorities, demonstrate the ability to proactively anticipate needs to build capacity for the leadership team. A high level of integrity and discretion in handling confidential information as well as professionalism in dealing with senior executives inside and outside of the company is critical.
From a daily administration point of view, you will be responsible for:
Extensive diary management, prioritising workload accordingly.
Inbox management if required, taking action where appropriate
Co-ordinating travel and accommodation, including global travel, which will include booking relevant tickets/hotels and preparing relevant itineraries
Processing of expenses
Booking and preparing meeting rooms and organize catering
Taking minutes in meetings
Processing invoices and maintaining electronic record of invoices
Ad hoc projects and duties that may be required from time to time
Ad hoc business travel on request to assist in the coordination of Team events and offsites
Be contactable out of hours and provide ad hoc support if needed.
Experience working within a fast-paced organisation and ability to stay calm under pressure with a mature outlook and approach.
Strong organisational skills, with great attention to detail.
Excellent interpersonal skills with an ability to work with a variety of styles and personalities.
Proficiency in Microsoft Office, PowerPoint, Excel and other office productivity tools, with aptitude to learn new software and systems.
Proactive, flexible team player willing to do what it takes to get the job done; adaptable and enjoys a challenge.
