To strengthen our Global Procurement Operations Team, we are looking for a Procurement Specialist based in Vienna (hybrid working model). In this role, you will support global procurement activities across multiple categories, including IT, Marketing, and Professional & Consultancy Services. 

While IT procurement will be a core focus, the position offers broader exposure across different business areas, working closely with international stakeholders and strategic vendors. 

Job Description

THE CHALLENGE:

In this role, you will ensure smooth and compliant procurement operations across categories and regions by: 

  • Processing purchase requisitions and creating purchase orders (PO) in our ERP system 
  • Obtaining, reviewing, evaluating, and comparing supplier quotations to identify risks, unfavorable clauses and hidden costs 
  • Ensure that the contract reviews are done according to internal processes & guidelines in our Contract Management System (Ironclad) before submitting the PO and/or signed Contract to the Supplier.  
  • Responsible for on-time and policy-compliant ordering of hardware, software/licenses, marketing, consultancy, and other services 
  • Confirming pricing, availability, and delivery timelines with suppliers 
  • Tracking deliveries and monitoring service milestones 
  • Supporting Category Managers in sourcing initiatives and vendor management activities 
  • Assisting with RFQs, RFPs, and tender processes, including documentation and Supplier communication 
  • Reviewing and supporting updates to existing contracts 
  • Monitoring supplier performance and identifying opportunities for process improvements 
  • Collaborating closely with internal stakeholders across global teams 
  • Preparing reports and data for presentations, KPIs & SLA Tracking 

 
YOUR PROFILE:

  • Bachelor’s degree in Business, Finance, Accounting, or a related field or equivalent experience 
  • Initial experience in operational procurement, ideally within an international or IT-driven environment 
  • Exposure to contract preparation, negotiation support, or tender processes 
  • Basic understanding of IT suppliers and market structures is an advantage 
  • Strong analytical and organizational skills with a structured, detail-oriented mindset 
  • Clear and professional communication skills 
  • Commercial awareness and cost sensitivity 
  • Proactive, reliable, and solution-oriented working style 
  • Ability to manage multiple tasks in a dynamic environment 
  • Experience with Microsoft Dynamics; ServiceNow, JIRA, Ironclad or Confluence is a plus 
  • Proficiency in MS Office 
  • Excellent English skills; German is an advantage

Additional Information

The minimum monthly salary for this position is according to the Collective Bargaining Agreement. Overpayment will be considered depending on qualifications and working experience.
