The opportunity:
This is an exciting opportunity for a motivated professional to take ownership of HR, payroll, and office operations in our Sofia office. As a People Operations Partner, you will play a key role in shaping an efficient, compliant, and engaging workplace environment.
In this role, you will combine HR administration and office operations to ensure the smooth day-to-day running of our local operations. You’ll act as the vital link between employees, external partners, and the wider HR and Finance teams, helping to create a workplace where people can do their best work.
Key responsibilities:
- Oversee and coordinate all HR administrative processes across the employee lifecycle, including contracts, onboarding, offboarding, and record keeping.
- Manage the monthly payroll process in collaboration with external payroll service provider, ensuring accurate data submission and timely reporting.
- Maintain employee records and HR systems in line with Bulgarian labor law.
- Facilitate the onboarding process for new employees, ensuring all tools, equipment, and documentation are ready for a smooth start.
- Support policy rollouts, employee engagement initiatives and internal communications.
- Act as a first point of contact for employees’ HR or administrative queries, providing timely and effective support.
- Oversee the smooth daily functioning of the office, ensuring a safe, organized, and welcoming environment that meets all operational, facility, and health and safety requirements.
- Handle procurement of office supplies, IT equipment, and other operational items, maintaining
appropriate stock and documentation.
- Manage relationships with external vendors and service providers (cleaning company, building management, IT, utilities), ensuring consistent, high-quality service delivery.
- Coordinate and organize company events, team-building activities, and visitor arrangements.
- Respond to operational issues in a timely and reasonable manner, ensuring minimal disruption to business activities.
- Track and manage local operational and HR-related expenses, ensuring accuracy, proper documentation, alignment with approved budgets, and timely reporting to Finance.
- Manage vendor contracts and service renewals, including basic review and negotiation within company guidelines, escalating where necessary.
- Ensure compliance with Bulgarian employment regulations, company policies, and data protection standards, coordinating with external legal advisors as required.
This could be ‘you’ if you can demonstrate:
- 2-3 years of experience in HR administration, people operations, or office/operations management.
- Strong knowledge of Bulgarian labor law, payroll procedures, and compliance requirements.
- Proven experience managing vendors, contracts, and basic budgeting processes.
- Excellent organizational and communication skills with strong attention to detail.
- Proactive, solution-oriented, and comfortable operating in a fast-paced, international environment.
- Strong interpersonal, communication, and negotiation skills, with the ability to build relationships at all levels of the organization.
- Fluent in Bulgarian and English (written and spoken).
- Confident user of MS Office and HR systems.
