What we are looking for 

As an Office Coordinator at Novibet, you will ensure the efficient running of the office and provide vital administrative support to the team.

What you will work on

  • Take ownership of daily office operations, ensuring a clean, well-organised, and welcoming work environment
  • Manage relationships with office suppliers; handle invoices and payments
  • Take ownership of cleaning standards and liaise with the cleaning company to address any issues
  • Manage general office upkeep, including coordinating maintenance, repairs, and facility improvements
  • Order office supplies, monitor stock levels, and maintain an up-to-date inventory of IT equipment
  • Process incoming and outgoing mail and courier services in line with company procedures
  • Ensure compliance with office health and safety regulations and act as a point of contact for related emergencies
  • Carry out basic bookkeeping for office-related expenses
  • Coordinate office projects and administrative tasks
  • Provide general administrative support to the Malta team (e.g., queries regarding health insurance or similar matters)
  • Organise and coordinate company events, team gatherings, and internal meetings
  • Act as the primary liaison with HQ for operational tasks and reporting
  • Assist with equipment setup for new joiners and ensure a smooth onboarding experience
  • Collect and submit on-call hours each month
  • Support HR queries, such as sick leave and vacation leave requests

 What you bring

  • BSc in Business Administration or a related field
  • 2+ years of experience in office management, administration, or a similar role
  • Fluency in English
  • Demonstrated ability to work independently with minimal supervision
  • Track record of taking ownership, showing initiative, and proactively solving problems
  • Excellent knowledge of MS Office
  • Strong organisational and multitasking skills
  • Ability to manage multiple priorities
  • Excellent communication and interpersonal skills with a team-oriented mindset
