Key Roles, Deliverables and Stakeholders
HR Administration
The HR Administrator is responsible for executing all administration requests from the HRBP’s. this includes , but is not limited to, activities such as updating of online employee files; ensuring that relevant documentation is submitted to payroll before cut-off; submitting authorised business claims for payment, completing confirmation letters for employee and keeping HR controls up to date.
They are in charge of record keeping and the issuing of Market / Team recognition gifts. The HR Administrator compiles HR documentation such as offer letters, Job change letters and employee contracts. In terms of the induction process, they assist with completing documentation of new employees. Later on in the employee lifecycle, they also prepare probation review documentation and ensure probation sign off.
Internal Recruitment
They are responsible for all the relevant documentation with regard to internal staff moves. This includes but is not limited to activities such as logging staff moves with EMS, Service desk, etc.
Loans, salary advances and study loans administration
The HR Administrator assists with the completion of the relevant form. The details are captured in the relevant location such as the loan database. They also ensure the necessary information is sent to Payroll.
Terminations:
This role is responsible for the capture of staff moves on the system. They send the exit questionnaire to the employee and ensure the Exit interview is booked with the relevant HRBP. The termination is then logged on EMS.
HRBP Calendar management
The HR Administrator schedules appointments for their HRBP. This includes 6 week catch up meetings with staff; Internal 3 month probation reviews meetings and external 4 month probation review meetings.
Labour Relations
This role is responsible for the capture of all warnings. They ensure the relevant document/s is scanned and saved in the correct folders; it is also included in the employee’s file. The details are then captured on Workday.
