You’ll be responsible for ensuring our workspaces across Asia, Europe, the US, and LATAM run seamlessly - safe, efficient, and full of energy. From overseeing daily office operations and managing trusted partners to designing moments that spark engagement and belonging, you’ll help us build a workplace that reflects our welcoming, ambitious, and high-performing culture.
Based at our HQ in Copenhagen on Sankt Annæ Plads, you’ll be the heartbeat of our office experience - driving initiatives that make our teams feel valued, supported, and inspired to do their best work every day.
You will be working with a team of +12 local office managers who all thrive for the same: creating a great workplace atmosphere for their colleagues.
Responsibilities
Facility responsibilities
Ensure a global standard for our offices
Establish global office forums (monthly) to ensure the local office functions running smoothly and in line with the global priorities and standards
Manage office adjustments, layout changes, and coordinate requests for improvements
Communicate all office-related updates and changes effectively
Ensure the global offices interior design and look & feel align with corporate standards
Responsible for safety standards, fire protection, evacuation plans, maintaining safety equipment and organizing employee training
Lead negotiations and relationship management with external vendors (e.g., cleaning, maintenance, supplies)
Guide the business on strategic location considerations and office capacity (seating/ workspace etc.)
Collaborate with our Global IT Operations team to ensure the right set-up for working space and meeting rooms
Administrative responsibilities
Maintain and monitor the global office and operations budget, ensuring cost efficiency and accuracy
Oversee and maintain all Travel Management Agreements and ensure compliance
Support ESG reporting for office-related activities
Leadership responsibilities
Dotted line managerial responsibilities (the how) of approx 10 Office Managers globally. They all report to a local HR or Finance representative for close leadership
Lead the direct team of 4 office admin and supporters in HQ, Copenhagen and the Kitchen team with the Head Chef as a direct report
Cover reception hours in HQ Copenhagen, together with the office team
Proven experience in office management, workplace operations, or employee experience roles
Organizational and multitasking abilities
Excellent interpersonal and communication skills
Negotiation and vendor management experience
Knowledge of health, safety, and ESG standards
Comfortable working across teams and levels of management
Proactive mindset and solution-oriented approach
