Position Summary

Job Functions:

  • Plan and organize all administrative activities of the department, administrative, office, fleet, safety and division to help keep the business running most efficiently.
  • Ability to maintain and communicate new processes to the entire Service Management team.
  • Serves as a strategic partner with fleet responsibilities to promote and raise awareness on safety, maximizing fuel efficiency and lowering operational costs by reviewing the fleet data analytics on a monthly basis and recommending cost-saving measures.
  • Liaison between employees and HR to provide documentation of payroll concerns for employees of the GSC.

·Ability to edit and manage payroll for the Service Management, including the GSC

  • Ability to create, reconcile and forecast the GSC budget and assist with the Service Management overall budgets and forecasting

·Ability to coordinates and leads quarterly meetings, teambuilding activities and ongoing Customer Service recognition activities

·Ability to manage the incentive programs for GSC

·Ability to assist with any GSC audits that are conducted within the scope of that department.

·Processes vendors through SGI Compliance process

·Tracks and processes invoices, POs, SRFs, PERs,

  • Ability to create and maintain attendance points system for GSC
  • Provide quality assurance and tracking to managers regarding field visits and ride-along.
  •  Assists corporate HR department to ensure policies and processes are followed.
  • Ability to maintain and communicate all Policies and Procedures as indicated by Corporate HR
  • Ability to assist with the onboarding of all contractors and employees within the Service Management Team, including the GSC.

·Ability to manage the corporate card expenditure for senior leadership.

  • Manage vendor contracts, legal documents and invoices to ensure the vendor meets company compliance requirements.
  • Ability to perform departmental new hire orientation for the GSC staff.
  • Ability to collaborate with the annual budget process, understand variance, and recommend corrective action.

·Ability to coordinates and schedules site meetings and conference calls.

·Ability to assist in making travel arrangements for senior leadership.

·Other duties as assigned.

Position Requirements/Qualifications:

  • High school diploma, GED, or equivalent
  • Four or more years of administrative management experience
  • Excellent written skills
  • One or more years customer service experience
  • Excellent verbal communication skills
  • Basic knowledge of Microsoft Office applications including Excel, Power Point, Outlook, Word, phones, computers, faxes, copiers, etc.
