Position Overview
This role supports both conference operations and website administration. It manages speaker information, coordinates panels and communication channels, and assists with logistical needs before and during events. It also maintains the website by updating agendas, profiles, and event content, ensuring accuracy, branding consistency, and smooth user experience. The position works closely with the Head of Conference and the CXO to keep all conference and online information organized and up to date.
Key Responsibilities
Conference Coordination Tasks - Answers to Head of Conference
- Speaker Management
- Collect, organize, and maintain speaker profiles, bios, headshots, and session details.
- Manage communication with speakers, including onboarding emails, reminders, and updates.
- Conduct speaker calls or briefings when needed to ensure clarity on session format, logistics, and expectations.
- Panel & Session Coordination
- Coordinate all speaker panels across all event locations.
- Work closely with conference teams to confirm session titles, descriptions, timings, and panel structures.
- Ensure all panel logistics are aligned with venue schedules, AV teams, and onsite requirements.
- Communication Channels
- Create, manage, and moderate WhatsApp groups or other communication channels for speakers, hosts, and key personnel.
- Ensure all groups receive timely updates and conference information.
- Ad Hoc Conference Duties
- Assist with last-minute schedule changes or speaker adjustments.
- Support onsite or remote event teams with operational needs.
- Handle general coordination tasks as required during conference planning and execution.
Website Administration - Answers to CXO
- Agenda & Event Updates
- Maintain all agendas for each event across the website, ensuring accuracy of dates, times, speakers, and descriptions.
- Update session details as changes occur, keeping all information consistent across platforms.
- Profile & Content Uploads
- Upload all speaker, judge, host, and moderator profiles with bios, images, and associated sessions.
- Ensure all multimedia elements are properly formatted and optimized.
- Branding & Assets
- Add partner, sponsor, and event logos across the website where needed.
- Maintain visual consistency and adhere to branding guidelines.
- Quality Assurance
- Routinely check the website for outdated content, broken links, or missing information.
- Coordinate with the design or development team for technical adjustments when necessary.
