Board Support Coordinator; In-house listed plc
Location: Dublin: Head Office, Clonskeagh, Dublin 4
(Some flexibility required to work out of hours to support events)
Reports to: Group Company Secretary
The Role
We are looking for an enthusiastic, highly organised, detail orientated Board Support Coordinator to join a fast-paced and ever-moving global organisation. This role will be based in our Dublin office and will support with the day-to-day administrative tasks, logistical arrangements and any ad hoc requirements to support the Board.
What you’ll do
Support with coordination of all logistical duties attached to Board and Committee meetings, as well as other internal and external Non-Executive Director meetings
Supporting with organising the Annual General Meeting, liaising with tech support and third parties on AV, sound and lighting, arranging catering, manage guest lists and registrations and any on the day duties
Coordinating all materials and briefing packs required for shareholder meetings and investor governance roadshows, liaising with key stakeholders
Support with requests for Directors details and documents required for due diligence and licensing requests
Submitting Board and corporate expenses, liaising with the relevant stakeholders. Preparing monthly credit card statements, submitting for payment and locating all back-up invoices and receipts for these statements
Assisting with invoices in relation to Board and Board Meetings, including preparing Deal sheets and PO;s
Updating and distribution of letterhead, intranet, relevant sections of company website and Resources section on Diligent with updated contacts/ policies
Arranging photography for Non-Executive Directors for annual report and website
Issuing documents for signature, including electronic signatures, general filing, scanning, storing of documentation (hard copies/electronic) and minutes books
Support the planning and execution of Board Meetings, including attendance onsite at meeting locations, where relevant
Support with ad hoc projects, presentations, documentation, and other duties relevant to the Group Secretariat function.
What you'll need
Strong experience in a similar role, dealing with C-Suite, Chair or Non-Executive Directors
Ability to meet tight deadlines, complete complex tasks quickly and accurately and react with appropriate urgency to situations that require a quick turnaround
High level of integrity and discretion in handling confidential information as well as professionalism in dealing with senior executives in and outside of the company is critical
Proactive, adaptable and enjoys a challenge with a can-do attitude
Strong attention to detail
Problem solving and solutions driven
Excellent communication skills both oral and written (English) with the ability to interact professionally with Directors and senior executives across the Group
Strong team ethic, willing to support team members to meet deadlines
Proficiency in Microsoft Office, Excel, PowerPoint, Access, Visio, Oracle Financials
The ability to stay calm under pressure with a mature outlook and approach
